Phishing still works. Here is a training program small teams will actually follow

Phishing remains the most common way attackers get into small businesses, because it skips past every firewall and goes straight to a person with a password. The good news is that a small team can get dramatically better at spotting it with a modest, consistent program.

Teach a few signs, not a hundred

Long training videos are forgotten by lunch. Focus on the handful of signs behind most real attacks:

  • Urgency or secrecy: "Pay this today," "Do not tell anyone," "Your account will be closed."
  • Money or credentials: any request to change bank details, buy gift cards, or sign in through a link.
  • Mismatched senders: a familiar name with an unfamiliar email address, or a lookalike domain.
  • Unexpected attachments or shared files, especially ones that ask you to sign in to view them.

Make the reference material physical

In the programs we build, the most used item is the simplest: a small card on each desk listing the warning signs and who to call. Pair it with a one page guide for every employee and a fuller handbook for managers that covers what to do after someone clicks.

Make reporting easy and safe

The goal is not zero clicks. The goal is fast reporting. Give staff one obvious way to report a suspicious email, thank them every time they use it, and never punish someone for admitting they clicked. A report in the first five minutes is worth far more than a confession a week later.

Use simulations to measure, not to embarrass

A baseline simulation shows where you stand. Repeating simulations every month or two, with short follow up lessons for anyone who clicks, builds the habit. Report results to leadership as trends, not names.

Back people up with technology

Training works best alongside controls that catch what people miss: email filtering, multifactor authentication on every account, and endpoint protection. With those in place, one mistaken click becomes an annoyance instead of a breach.
